      Batch Communication on Lead List

      Communicate with multiple leads in SiteZeus using the Batch Email and Batch Text features from the Leads List. This guide covers sending messages to multiple leads and clarifies that the email feature is for single messages, not campaigns.

      1. Selecting and Filtering Leads for Batch Email or Text:

      • Checkboxes for Selection: To initiate batch edits, navigate to the Leads List. Here, you can select two or more leads by checking the boxes on the left of the grid.

      • Filtering Leads: If you need to refine your selection further, apply filters to display the leads that meet your criteria.

      • 'Select All' Option: At the very top of the Leads List, you can choose the 'Select All' option. This will not only display the number of leads selected on the current page but also give you the option to select 'all leads that meet criteria.'

      2. Sending Batch Emails:

      • Accessing the Batch Email Feature: Once you've selected the leads you want to email, click on 'Actions' at the top of the grid. From the dropdown menu, select 'Batch Email.' This action will open a pop-up window.

      • Customizing Email Content: In the pop-up window, you can customize the email content. You have the option to select a pre-created email template, but this is not mandatory. If you choose a template, it will automatically populate the content window below. A subject for the email is required, as well as some content in the content window if a template is not selected.

      • Personalization Tokens: On the right side of the pop-up, you can enhance your emails by using personalization tokens. These tokens allow you to add lead-specific information to the email, making your communication more personalized and relevant.

      • Adding Attachments: Use the attachment box below to either drag and drop files to attach or click to select files from your computer. Attachments can enhance the content of your emails with documents or other relevant files.

      • Previewing Emails: Before sending, you can preview your email using the blue 'Preview' button. This ensures that your email appears as intended and allows for any final adjustments.

      • Sending Bulk Emails: When you are satisfied with your email, click the green 'Send' button to dispatch the emails to the selected leads. These emails will be recorded on the 'Correspondence' tab of each lead's specific Lead Card.

      3. Sending Batch Texts: 

      • Accessing the Batch Text Feature: Once you've selected the leads you want to email, click on 'Actions' at the top of the grid. From the dropdown menu, select 'Batch Text Message.' This action will open a pop-up window.

      A dropdown at the top of the popup window indicates how many of your selected leads have a valid Mobile Phone number to which the text will be sent. If they do not have a Mobile Phone Number, the system defaults to the Preferred Phone Number. If they have neither attached to their record, then no SMS communication can be sent.

      • Add Text Content: Add your message, which can be up to 1,000 characters.

      • Personalization Tokens: On the right side of the pop-up, you can enhance your texts by using personalization tokens. These tokens allow you to add lead-specific information to the email, making your communication more personalized and relevant.

      • Previewing Texts: Before sending, you can preview your texts using the blue 'Preview' button. This ensures that your text appears as intended and allows for any final adjustments.

      • Sending Bulk Emails: When you are satisfied with your text, click the blue 'Send' button to dispatch the emails to the selected leads. These texts will be recorded on the 'Correspondence' tab of each lead's specific Lead Card.

      4. Tracking Batch Communication:

      After sending bulk emails or texts, you can easily track the communication history on the 'Correspondence' tab of each lead's Lead Card. This helps you keep a record of the correspondence sent and received, ensuring transparency in lead communication.

Customize your emails and texts, add personalization, attach relevant files to emails, and preview your messages before sending.
