Assessments can be a tricky and complicated aspect of many educational and professional settings. However, with the right training and guidance, anyone can learn to navigate and utilize the SiteZeus Assessments area effectively.
One of the main challenges with assessments is the vast array of options and settings that are available. From multiple choice questions to open-ended responses, there are a variety of question types to choose from. Additionally, there's many advanced options for setting notifications, follow-ups on specific questions, and other factors that can make the process seem overwhelming.
Another challenge is understanding how to interpret and use the data that is generated from assessments. The results of assessments can provide valuable insights into franchisee or employee performance, but it can be difficult to know how to make sense of the data and use it to inform decisions.
Despite these challenges, assessments can be an incredibly powerful tool for measuring and improving performance. With the right training and guidance, anyone can learn to navigate the assessments module and make use of the data it generates.
So, if you're feeling overwhelmed by the assessments module, don't worry! With a little bit of training and guidance, you'll be able to master it in no time. And I'm here to help!
In this article I'll be walking you through the basics of the assessments module, including the different types of questions, setting up sections and questions, publishing assessments and accessing responses.
Lets start by identifying the two components of the Assessments area: 'Assessments' and 'Master Assessments'. To generate a brand new assessment, lets navigate to 'Master Assessments':
Here is where you'll see any assessments listed that you've already created. To start fresh, lets click 'New' in the top right corner of the page:
On this page, start by entering the Assessment Name. If your particular site is multi-concept or multi-brand, you can select to which Concept this particular assessment should be associated. It is important to note that only one Concept can be assigned per assessment. In the box below you can optionally enter a description of your assessment:
The Assessment Outline will give you an overview of how many Questions and Sections you've added to your Assessment. Lets add our first question to the first pre-created section, titled 'General'. Click 'Add New Question':
Lets follow these steps to get your first question added:
-
Type your question in the top box.
-
Optional - Add some informational help text which will be displayed as an info-hover on this question.
-
Optional - If the question is required, check off the 'Is Required' box.
-
Select your Question Type. Depending on the type of Question, other options may appear in regards to how the response is styled.
-
If Required based on Question Type - Select an 'Answer Display Style'
-
You can change the Answer Text that appears in each box.
-
Click 'Add an Option' to create additional response options.
-
Click the red 'X' to remove a response option.
-
-
Click 'Add Question' at the bottom to save your new question.
There are many different options for 'Question Type':
-

-
Single Answer: Use this option to allow the user to select one answer from a radio button list or dropdown list of answers.
-
Multiple Answer: Use this option to allow the user to select multiple answers from a radio button list or dropdown list of answers.
-
Open Ended Text: This will allow the user to answer with a text response.
-
Date: This will require the user to answer with a date.
-

-

If you want to break up your assessment into different groups for easy navigation, select 'Add New Section' at the bottom.
In the popup window that appears, title your Section and add any optional help text.
To edit the name of a Section, click 'Edit Section' as shown here and make adjustments in the pop-up window.
To add some personalized flair to your assessment, try adding an Introductory Page or an Exit Page from the second tab. Check the boxes to enable to pages use, then use the boxes to add your content. Each box is a rich-text editor where you can add images, format your text, insert tables or links and more! You can even switch to an HTML mode if that is easier to use for you. Make sure you click 'Save' periodically!
On the last tab, you can even view a 'Preview' of your assessment, which will look identical to what an assessment taker will see, including your Intro and/or Exit pages, different Sections and question filters:
Once you do save your assessment, you'll have the option to 'Publish', which is what makes your assessment available to be taken in various parts of the system, and begin receiving responses. Click 'Publish' to launch that process:
In the popup window that appears, you'll have many new selections to make:
-
'Assessment Name' will be pre-populated with your original entry, though you will have the option to change it here.
-
Optional - Select an Availability Start Date and/or End Date during which your assessment can be taken.
-
Select an 'Assessment Area' - these are the specific areas of SiteZeus in which your assessment can be taken and responses can be accessed.
-
Optional - Select 'Contacts' in SiteZeus who should be notified when an assessment is submitted.
-
Select your level of Assessment Access from 'Public, anyone with the link can respond', or 'Invite Only, respondents must be invited via email'
-
Click 'Publish Assessment' once you are satisfied with your selections. These can be changed later under the 'Assessments' tab.
Once you Publish your assessment, you'll be automatically redirected to the Assessments tab, where you can make edits to the Assessment Details, Intro and/or Exit Pages, Assessment Areas and Notifications. Here is where you can also get your Assessment URL if you plan to link the assessment in an email or other form of correspondence.
For this assessment, we selected 'Projects' and 'Locations' as our assessment areas. Lets navigate to a Unit to take our assessment under the 'Assessments' tab:
We will complete our required questions and click 'Submit' at the top:
We can see our specific response to this assessment in two places. First, back on the 'Assessment Tab' for the unit for which we completed the assessment.
The second place is back on the Assessment page, under the 'Responses' tab. The top of this page will even give you a summary of all completed and submitted responses.
To review, we have three different ways to send somebody to take an assessment:
-
Use the URL link directly from the Assessment Details page.
-
If the respondent is a SiteZeus User, they can access directly from the Assessment Area to which the assessment is assigned (Unit, Contact, Company, Lead, etc.)
-
Use the 'Assignees' tab to send the assessment directly to specific email addresses. You can even add an optional message to the email which will contain the assessment link.
Overall, while assessments can be complicated, with the right training and guidance, anyone can learn to navigate and utilize the assessments module effectively. With this post as a guide, you'll be well on your way to mastering the assessments module and using it to improve performance within your franchise, and beyond.
